The situation
Workello needed a way to test job candidates at scale automatically, but the initial Bubble build had broken scoring logic and messy candidate pipelines. Recruiters couldn't trust the results.
The Bubble database had candidate data, test results and pipeline stages stored without proper relationships. Scoring workflows ran inconsistently — some candidates got scored, others didn't. The recruiter dashboard showed incomplete data because the "Do a search for" queries weren't constrained properly.
The product concept was strong and Bubble was the right platform for a SaaS that needed rapid iteration. The problem was the implementation, not the technology. The existing Bubble app needed a developer who understood how to build reliable data workflows.
What we built
We rebuilt the assessment pipeline in Bubble with proper data architecture, reliable scoring workflows and clean recruiter dashboards.
Assessment data architecture
We created clean data types for Jobs, Tests, Questions, Candidates, Submissions and Scores with proper relational links. Privacy rules ensure recruiters only see candidates for their own job listings. Each assessment submission links to a specific test version, so scoring stays consistent even when test questions change.
Automated scoring workflows
Backend Bubble workflows fire when a candidate submits an assessment. The workflow scores each answer against the rubric, calculates a total score, assigns a grade tier, and moves the candidate to the appropriate pipeline stage — all without recruiter intervention. Scheduled API workflows handle timeout scenarios where candidates don't complete the test.
Recruiter dashboard
The recruiter dashboard uses Bubble's repeating groups with layered constraints to show candidates filtered by job, stage and score. Conditional formatting highlights top performers and flags incomplete submissions. The dashboard loads quickly because every "Do a search for" query uses tight constraints instead of loading all candidates.
Candidate experience
The candidate-facing assessment flow is built with Bubble's multi-step forms using custom states to track progress through each section. Answers auto-save via backend workflows so candidates don't lose progress. The timer runs as a Bubble custom state with a scheduled workflow that auto-submits when time expires.

Technical challenge
The scoring pipeline had to handle hundreds of concurrent assessments, grade them against custom rubrics, and route qualified candidates to the right workflow stage without manual intervention.
The result
First paying customers signed up within 30 days of launch. The Bubble app now serves hundreds of hiring teams running automated assessments at scale.
